PURPOSE

The Accounting Assistant I classification performs a variety of accounting support duties of limited complexity involving financial recordkeeping and/or transactions.

DISTINGUISHING CHARACTERISTICS

The Accounting Assistant I is the entry level class in the Accounting Assistant series. This class is distinguished from the Accounting Assistant II by the performance of more routine tasks and duties assigned to positions within the series. Employees at this level are not expected to perform with the same independence of direction and judgment on matters related to established procedures and guidelines as positions at the journey level. This class is typically used as a training class; therefore, employees may have only limited or unrelated work experience. Employees are expected to work under general supervision while learning job tasks and are expected to be performing at the journey level within the prescribed time frame.

SUPERVISION RECEIVED AND EXERCISED

The Accounting Assistant I receives immediate supervision from an accounting or administrative employee of a higher classification.
Supervision is not normally a function of this class.

ESSENTIAL JOB DUTIES

Duties may include, but are not limited to, the following:

1. Records daily cash receipts; types transmittals for daily bank deposit.

2. Verifies and keeps records of payments.

3. Prepares miscellaneous invoicing.

4. Assists the public with questions regarding billing procedure.

5. Assists in creating a positive and supportive work environment; enforces a safe workplace; establishes a culture of teamwork and communication; creates a workplace that promotes the organizational values of access and opportunity and actively promotes an environment respectful of living and working in a society accepting of all.

6. Maintains records of requisitions and purchase orders, verifies and codes invoices, assists with typing of vouchers.

7. Accesses, inputs, and retrieves data from financial information systems, spreadsheets, and other software in the performance of routine accounting duties.

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of:

  • Principles and procedures of financial recordkeeping;

  • Modern office methods and procedures and computer equipment; and

  • Basic mathematical principles.


Skills to:

  • Provide timely, effective, and efficient customer service to citizens, clients, and other employees; and

  • Interact patiently with individuals making inquiries regarding various County programs and services, who may have little or no experience or knowledge of the services provided.


Ability to:

  • Operate a typewriter, calculator, computer terminal, and other office equipment;

  • Enter data at a speed necessary for successful job performance;

  • Perform procedures in an organized and accurate manner;

  • Accurately count, record, and balance assigned transactions;

  • Understand and carry out oral and written instructions;

  • Communicate effectively both orally and in writing; and

  • Establish and maintain cooperative working relationships with individuals and groups who come from diverse backgrounds and represent members of the public, coworkers, and/or vendors.

MINIMUM QUALIFICATIONS

Education and Experience:
A typical way to obtain the knowledge and abilities would be:

  • A high school diploma or equivalent; AND

  • One (1) year of general clerical experience including some financial recordkeeping.
